This page explains what personal information Coalface Guides collects when you use coalfaceguides.com, why, and what your rights are.
Who is responsible for your data
Coalface Guides is the controller of your personal data. Our address is 25 Cromwell Road, Cambridge CB1 3EB, UK. You can contact us at info@coalfaceguides.com.
What we collect
- When you buy: your first name, email address and any billing details you enter at checkout, plus what you ordered and when.
- Payment: card details go straight to Stripe, our payment provider. We never see or store your full card number.
- When you sign up for a free guide: your email address, through a sign-up form.
- If you tick the box at checkout to get our emails: we also add your name, email and the guides you bought to our email list.
- If you email us: your message and your email address.
Why we use it, and our legal basis
- To deliver your guide and run your order. The basis is that we need it to fulfil our contract with you.
- To keep records for tax and accounting. The basis is a legal obligation.
- To send you our marketing emails, but only if you ticked the box at checkout or signed up through a form. The basis is your consent. You can withdraw it at any time by using the unsubscribe link in any email.
- To keep the website secure and prevent fraud. The basis is our legitimate interest in protecting our business and customers.
Who we share it with
We use a small number of providers to run the business. They handle your data for us and only for the purposes above:
- Stripe, to take payment.
- MailerLite, to send emails to people who have agreed to receive them.
- Our website host, Hostinger, which stores the website and order records.
We don’t sell your data.
Transfers outside the UK
Some of these providers are based outside the UK, including in the United States and the European Economic Area. Where that happens, we rely on the safeguards the providers have in place, such as approved contract terms or an adequacy decision.
How long we keep it
Order records are kept for 6 years, because UK tax law requires it. Your place on our email list is kept until you unsubscribe. Messages you send us are kept for as long as we need them to help you.
Cookies
Our site uses only the cookies it needs to work, such as the ones that remember your cart and keep checkout secure. We don’t use analytics or advertising cookies at the moment. If that changes, we will update this page first.
Your rights
You can ask us to show you the data we hold about you, correct it, delete it, limit how we use it, or send it to you in a portable format. You can also object to us using your data. To use any of these rights, email info@coalfaceguides.com. We will reply within one month.
Complaints
If you are unhappy with how we handle your data, please tell us first so we can put it right. You can also complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.
